Exhibitor checklist

We want to make sure that your participation as an spoga horse exhibitor is stress free. In addition we want to and make it easier for you to prepare for the trade fair. The following check list will provide you with an overview of all the things that you should consider and it includes important deadlines. This way, you will have all the important dates at a glance.

  • You can use the calendar to display important dates starting from a particular point in time

    Mailing of stand confirmations

    12.10.2020 | 9:00 AM

    Starting around middle of October 2020 stand confirmations are sent out. The participation contract takes effect with stand confirmation. The stand area confirmation includes dimensioned stand sketches and site maps as attachments.

    Mailing of work and exhibitor passes and stand rental invoice

    You will receive the invoice for the participation fee starting around middle of November 2020. Invoice amounts are payable immediately upon receipt of the invoice. The free of charge exhibitor and work passes will be at your disposal after the invoice for the participation costs has been sent.

    All main exhibitors and co-exhibitors are obliged to order the Marketing Package, which includes an entry in the printed catalogue. A fee is charged for this service. Please make a note of the deadline for providing editorial and advertising content.

    *Co-exhibitors are companies that are represented at the trade fair with their own products and their own personnel but use the stand area of a main exhibitor. Companies within a corporate group and subsidiaries count as co-exhibitors.

    "Trucks may entry from 6:00 p.m. The stand may not be partially or completely cleared, nor may exhibits be packed away, before 4:00 p.m. on 8 February 2021. Koelnmesse has the right to impose a contract penalty of up to 5,000.00 euros for each time that an exhibitor violates this regulation. Koelnmesse may in addition/as an alternative bar the exhibitor in question from participating in the following event."

    Mailing final invoice for services

    22.03.2021 | 9:00 AM

    Koelnmesse shall be entitled to charge a reasonable down payment for the services used for the event in question – e.g. electrical and water connections, stand cleaning, etc. The down payment for services shall be assessed on the basis of the services charged for the previous event. The down payment for exhibitors who have not participated in the previous event shall total EUR 19.00 per m² – plus the costs for the obligatory marketing services (Marketing Package). Following the event, a separate invoice will be drawn up for the services provided; the down payment will be credited to this amount. Invoice amounts are payable immediately upon receipt. If the down payment exceeds the amount charged for services provided, the excess amount will be paid back to the exhibitor. Exhibitors are not entitled to have interest paid on their down payment.
